Team access, roles, and plan limits
Owners, dispatchers, and technicians have different access. Plan limits apply to included users and managers.
- Owners and dispatchers manage customers, quotes, Agreements, invoices, Deposit Requests, documents, scheduling, and operational jobs with the required manager access.
- Technicians work assigned jobs from My Work. An assigned technician can add job and service photos. Broader document, deposit, and payment work stays with office roles.
- Each plan includes a defined number of users and managers; Custom uses a tailored team size. See the pricing page for current included seats.
- Field-work access and manager access have separate capacities; a person with both counts once toward overall user capacity.
Invite and maintain your team
Open Business → Team. An owner can invite a Technician or Dispatcher, enter the member’s contact details, and send the invitation. The member follows the invitation to set their password. Use the roster’s edit and invitation controls to maintain details or resend an invitation, and deactivate a member when they should no longer work with the business.
Membership, manager access, and field-work access
- Membership identifies the person and their business role: Owner, Dispatcher, or Technician. It is not a promise of access to every workspace feature.
- Manager access enables eligible office workflows for owners and dispatchers: customers, company jobs, Quotes, Agreements, Deposit Requests, Invoices, scheduling, and related documents.
- Field-work access lets eligible owners and technicians be assigned company jobs and work on those assignments. Dispatch Network work uses its separate participation and assignment rules.
- An eligible owner can have both manager and field-work access on one account. A second account is not required just because that person works in the office and in the field.
Grant access and assign work
Owners manage Manager access and Field-work access in the team roster. Review the capacity summary, then change the appropriate access control for the member. A dispatcher role is eligible for manager access; it does not automatically make that person a company field worker. A technician role is eligible for field-work access; it does not automatically grant office management.
After field-work access is enabled, assign the person to the job from the scheduling or job workflow. Assignment gives the person that visit’s authorized work context. Reassign active jobs before removing access when the team page asks you to do so.
Understand capacity
Manager capacity limits people with manager access. Field-member capacity limits people with field-work access. Overall user capacity counts the distinct people using either access type. For example, an owner with both access types uses one manager place, one field-work place, and one overall user place—not two overall users.
Review the team page before adding access. If a capacity limit is reached, free an appropriate place or review your plan. Use the current pricing page for commercial limits rather than assuming every plan has the same team size.
Which work belongs to office or field access?
- Customers, Quotes, Agreements, Deposit Requests, Invoices, and customer or Quote attachment management use authorized office access.
- Company job creation, scheduling, and reassignment use manager access. Field team members work within their authorized assigned jobs.
- Assigned field team members can use permitted progress actions, internal Service Record fields, and service-photo uploads. Office users control customer-facing service summaries and summary notifications.
- Reports and business administration have their own access and plan requirements. Ownership alone should not be treated as proof that every subscribed capability is active.
These are supported access categories, not arbitrary custom roles. Use the action available on the record when a feature needs additional permission.
Field Console Pro plans share core business management tools, with additional capabilities and usage allowances available on selected plans.
