Follow-ups and in-app alerts

Track follow-up opportunities and review in-app alerts as an owner or dispatcher. Technicians respond to pre-service check-ins from their assigned job.

  • Follow-ups page lists service reminders and quote or invoice follow-up tasks you create or system surfaces.
  • In-app alerts cover follow-ups due or overdue, quote activity, invoice activity, and supported job updates—review from the notification bell or Support alerts.
  • Pre-service check-ins ask assigned technicians to confirm on track, running late, or cannot make it.
  • When a technician reports running late or cannot make it, owners and dispatchers can receive in-app alerts for that response.
  • Follow-ups are contractor-controlled tasks; alerts stay in-app for owners and dispatchers.

Create a follow-up

  • Open Follow-ups and choose Add follow-up, or use Add follow-up on a customer to start with that customer selected.
  • Select the customer, choose Type and Due preset or Due date, and enter a useful Title and Notes. Choose Add follow-up to save.
  • Review Due now, Upcoming, and overdue filters to decide what to handle next. Use Log contact after contact, Snooze to move the reminder, or Dismiss when it is no longer needed.
  • When the customer is ready for work, use the offered job conversion action and review the job details before creating the job.

Coordinate responsibility

Follow-ups are shared office tasks, not field-job assignments. Agree who will handle each item and use Title or Notes to record that context for the team. The current follow-up form does not have a member-assignment selector. Assign the field team member on the resulting job when the work is booked.

Read internal alerts

Use the notification bell or Support alerts to open an alert and its related record. Due follow-ups, customer document activity, payments, and Agreement milestones can help office users decide what to review next. An alert gives context; open the current record before collecting money or changing the job.

Use the right customer channel

An in-app alert is for your team; it is not a customer email. Sending a Quote, Agreement, Deposit Request, or Invoice uses that document’s delivery action. Appointment emails follow the job’s notification choice. Customer Text Updates require the separate texting setup and customer opt-in.

Portal visibility is also separate from sending a message. A saved summary for an eligible completed appointment can appear in the portal without an email; use Save & notify customer to request the summary email. No single event should be assumed to send every channel.

Field-team coordination

Field team members review assigned work and respond to pre-service check-ins there. A running-late or cannot-make-it response can alert office users. Their assigned-work experience is not the same as the office notification feed, and an alert does not expand access to customer or financial records.

Where to find it: Open Follow-ups for reminders and Support alerts for the alerts page. Technicians use My Work for assigned jobs and pre-service check-in responses.
