Customer Portal

Give invited customers a private place to return to appointments, service history, shared documents, and eligible Invoice payments. Your internal business records stay inside your workspace.

  • Set up the branded business portal in Business Profile, then invite customers from their customer records.
  • Customers sign in through emailed verification links, without creating a portal password.
  • The portal brings eligible service information together; document approval, signing, and payment links still have distinct purposes.

Set up your business portal

  • Open Business Profile and find Customer Portal. An owner or dispatcher with manager access can manage the portal.
  • Enter Portal slug or choose Use suggested slug. Review Portal URL preview, then choose Create customer portal. This establishes the business subdomain shown on the screen.
  • Check that the portal is Enabled. Use Enable customer portal if it was disabled, and Open customer portal to review the customer-facing address.
  • Keep your business name and logo current in Business Profile. The portal uses that business identity; preview it before inviting customers.

The portal is part of Field Console Pro; Zwivio Dispatch Network participation is not required. Disable customer portal interrupts customer access and invitations, so review that decision with your office team.

Invite a customer

  • Open Customers, select the correct customer, and review their email address.
  • In Customer portal access, choose Invite customer. Check the confirmation that the invitation has been queued; the customer receives activation instructions by email.
  • The panel shows Approved email and whether access is Approved or Revoked. Use Revoke portal access when that relationship should no longer have access.
  • If the email changes, review the identity carefully and use Reapprove email and invite. Sharing previous-email documents requires the separate same-person confirmation; do not use it for a replacement person.

How customers sign in and return

The customer opens the access link in the invitation, enters the invited Email address, and chooses Email a verification link. They open the verification email and choose Verify My Access. No portal password is needed. On later visits, an active sign-in can return them to their service view; when verification is needed again, use the returning-access address in the invitation to request a fresh link.

Customers should keep their business-provided access email. Opening the business portal address alone is not the same as being invited, and entering a different email does not grant access to another customer’s records.

Appointments and service history

The customer can review upcoming or active appointments and open Service History for previous visits, including cancelled visits. Opening a visit shows its authorized service details. A completed appointment can show the Customer-facing summary saved by your office; private internal work fields and team notes are not displayed.

Appointments do not need an empty Service Record to appear. A summary is additional service information and appears only after completion. Saved changes to an already visible summary update the customer view; a notification email is a separate choice.

Documents and balances

Documents lists eligible shared Quotes, Invoices, Deposit Requests, and Agreements for this customer relationship. Open View details to review a document and related work. The list is not a copy of all customer files: internal attachments, private notes, drafts, and another customer’s documents are not automatically shared.

An Agreement in the portal is a summary, not the signing ceremony or a completed-document download. Use the emailed Agreement link to review and sign. Use the secure Quote approval or Deposit Request payment link for those actions; viewing a portal document does not perform them.

For an eligible Invoice, open its details, review Deposit applied, Amount paid, and Remaining balance, then use the available online payment action. Payment setup and the Invoice’s current state determine whether payment is offered. A successful confirmed payment updates the balance. A paid Invoice needs no further payment; this is not a general refund service.

Portal access and individual links

The portal is a returning customer service view after email verification. An appointment link opens one visit; a Quote link supports its approval; an Agreement link supports signing; Deposit Request and Invoice links support their own collection workflows. Use the appropriate guide and link for the task rather than treating those links as interchangeable.

Keep each customer’s information private

Invite the customer on the correct record and keep the approved email up to date. Portal access follows that service relationship, not every record with a similar name or phone number. Reapproving an email or inviting a person is not a customer merge and does not authorize access to unrelated accounts.

Where to find it: Open Business Profile for Customer Portal setup, then Customers and Customer portal access to manage invitations.
