- Share secure appointment pages with timing and service details for the visit.
- Appointment pages show customer-visible timing and service details—not your internal Operations notes.
- Send appointment emails with secure links so customers can review the details that apply to their visit.
- Field-team details and trip progress reflect the information shared for the appointment.
Share appointment information
When creating or updating a company job, review the customer’s email and the customer notification choice. Choose Notify customer by email when you want the appointment email sent. Review the delivery result; saving without notification keeps the appointment without sending that email. Use the available resend action when the customer needs another appointment email.
The emailed secure appointment link opens the details for that visit. Customers can review the appointment window, service information, and the field-team or trip updates shared for the visit. Internal Operations notes and private Service Record details are not displayed.
Keep changes clear
For example, if a visit moves from the morning to the afternoon, update the appointment and choose the email notification option so the customer receives the change. Use the job’s progress actions for on-the-way, arrival, or completion updates rather than assuming an internal note sends a message.
Appointment emails and appointment pages do not require a connected Google Business Profile. Google profile setup is used for Google review requests, not for sharing appointment information.
Appointment link or Customer Portal?
An appointment link is for a particular visit. The Customer Portal gives an invited customer a returning service view after email verification, including eligible appointments, history, and shared documents. Sending an appointment email does not invite someone to the portal. Use Customer portal access on the customer record to manage that separate invitation.
Quote approval, Agreement signing, and deposit or invoice payment links each have their own purpose. Send the link for the action the customer needs; an appointment link does not substitute for one of those document links.
Customer Text Updates
When Customer Text Updates are enabled for your business, eligible customers can opt in from their secure appointment page.
Text updates are sent from your dedicated business texting number and can include:
- appointment reminders
- on-the-way updates
- running-late notices
- arrival updates
- cancellation updates
- completion updates
Appointment emails and appointment-page links do not automatically opt a customer into text messages. The customer chooses whether to receive texts from the secure appointment page.
Pausing and restoring text updates
Customers can reply STOP to pause Customer Text Updates from your business texting number.
If a customer later replies START, texting can resume for that number when the customer still has a valid opt-in.
If the customer's phone number changes, the new number must opt in separately.
Keep customer communications focused
Customer communications should stay operational and focused on appointment timing, service status, and visit context. Do not include sensitive personal details.
Google review request emails
Google review request emails help your business ask satisfied customers for public reviews after completed company jobs. Connect and confirm your Google Business Profile, then turn on review requests in Customer Communication settings. See the Google review requests guide for setup details.
Where to find it: Open the job from Jobs to review appointment details and email notification controls. Manage optional Customer Text Updates in Customer Communication settings.
