Customers, service locations, and equipment
Keep customer records, service locations, and equipment profiles together so your team has useful history for every visit.
- Store customer-specific name, email, phone, and address details your business uses for service.
- Track multiple service locations per customer and tie equipment to the location—not to a person—so history stays with the property.
- Review job history and service-location history from the customer record.
- Add operational notes your team should see before the next visit.
Create and maintain a customer
- Open Customers and choose Add customer. Enter the required Phone, add the customer’s name and email, then choose Add customer in the form.
- Open the customer to review contact details. Make permitted changes and choose Save changes. Keep the email current before sending commercial documents or a portal invitation.
- Review the customer’s related jobs, Quotes, Invoices, Agreements, and Service Records to prepare for the next conversation or visit.
Your customer record belongs to your business. For Zwivio-sourced records, the customer screen identifies which details can be changed in your CRM copy. These edits do not rewrite the homeowner’s Zwivio account. Matching names, phone numbers, or emails are not an instruction to merge records.
Use the right service location
When adding a job, choose the customer, then use the Location step. Use saved service location selects an existing property; Use a new service address lets you enter another address for that job. Saved service locations appear on the customer under Service locations, with equipment and service context grouped by property.
For an address correction on company-added work, open the job’s edit workflow and review its service address before saving. Editing the customer’s contact address is separate from selecting a job’s service location. The customer page lists locations; it does not provide a separate Edit location form for rewriting existing saved properties.
Record equipment at the property
- Open the customer and find the relevant property under Service locations. In Equipment at this location, choose Add equipment.
- Enter the equipment details in the form and save with Add equipment. Use details meaningful to your trade, such as a system name, model, serial number, or installation information.
- Choose Edit beside existing equipment and Save changes to update it. Archive hides equipment from the active location list while keeping its history.
- When documenting a visit, select the serviced equipment in the job’s Service Record so later visits have useful context.
Office and field access
Office users with manager access maintain customer and equipment information. Field team members receive customer and location context through their authorized assigned jobs; being assigned work does not grant unrestricted customer-list or customer-record management.
Give customers their own service view
Use Customer portal access on the customer record to invite the customer to your enabled portal. The Customer Portal guide explains invitations, email verification, shared documents, and service history. Internal customer notes and attachments remain inside your business.
Platform identity
Customer records in Field Console Pro belong to your business. They are separate from homeowner accounts on Zwivio when a customer also uses Zwivio for other services.
Customer communications
Customer appointment emails and secure appointment pages are included with every plan. Google review request emails are also included; connect your Google Business Profile to use review requests. Customer Text Updates are available as an optional add-on with separate setup and approval. See Appointment pages and email updates for included pages, emails, and the optional Customer Text Updates add-on.
Where to find it: Open Customers for your customer list, then select a customer to review service locations and equipment.
