Quotes and customer approvals
Create quotes with Price Book or template lines, send a secure approval link, and convert approved work to a job or recurring schedule. Customer approval confirms the quoted work. It is not an electronic signature.
- Edit quote line items before you save and send; customers approve or decline through the link.
- Attach quote documents and choose which of those files the customer can open from the secure quote.
- Convert an approved quote to a one-time job or to a recurring schedule on monthly plans.
- Add a customer message and internal quote notes where your workflow uses them.
- View a related invoice when one exists for the same work.
Prepare a draft
- Open Quotes and create a new Quote, or choose New quote from the customer record. Select the customer and review their contact and service details.
- Add line items directly, choose Price Book items, or apply a Quote template. Review quantities, selling prices, customer message, and any internal notes.
- Use Save draft while preparing the proposal. Add any Quote documents and deliberately mark the attachments you want the customer to see.
- Check the customer email, validity details, and totals before using the send action.
Send and track the customer’s response
Confirm sending to email the customer a secure Quote link. The customer can review the proposal and approve or decline it. Review the Quote status and recorded response in your workspace. Sending and viewing are different from approval; an approved Quote still needs your office to book the work.
Quote revisions: revise or resend
Draft Quotes can be edited. Once sent, the customer-facing content is preserved and the Quote is no longer editable. Use Resend on an awaiting-response Quote when the customer needs another delivery of that proposal. Resending is not a way to replace its prices or terms.
For a revised proposal, create a new Quote with the corrected details and send it for its own customer response. Review the earlier Quote’s status so your office knows which proposal to use. Do not assume that a new proposal carries forward the previous approval or automatically replaces the earlier Quote.
Book approved work
Open the approved Quote and use its job-conversion action. Review the customer, service location, timing, and assignment in the office workflow before creating the job. Monthly plans also offer conversion to a recurring schedule. Customer approval alone does not create or schedule a job.
After the work is completed, create the final Invoice from the job and review the Quote lines used to prefill it. Quote approval confirms a proposal; it is not Agreement signing. Use Agreements and Electronic Signatures when you need the customer to electronically sign your prepared Agreement PDF.
Starter billing note
Sending certain quotes may count toward Starter billable work items. Your first Starter billable work item is included at no charge. Quote-to-job conversion does not create a second Starter charge for the same quote path.
Where to find it: Open Quotes to review proposals, and choose New quote to prepare one.
