Agreements and Electronic Signatures

Upload your prepared Agreement PDF, send it to the customer for electronic signing, and keep the signed document and certificate connected to the customer and work.

  • Prepare the Agreement in your preferred document editor and export it as a PDF. Field Console Pro manages the upload, delivery, electronic signature, and completed documents.
  • Create a job-linked Agreement from the job, or a customer Agreement that is not tied to a particular job.
  • Quote approval and Agreement signing are separate actions. Approving a quote does not sign an Agreement.
  • Authorized office users manage Agreements; assigned field-work access alone does not grant Agreement management.

Create and review a draft

  • Open the customer or job and find Agreements. For a job Agreement, first check that the job is connected to the correct customer.
  • Choose New job agreement or New customer agreement and select your PDF. Uploading creates a draft; it does not email the customer.
  • Review the file through Original Agreement. Enter Signer name and Delivery email, and check Signer phone.
  • Review the Signing Statement. If you edit it, choose Save statement before sending. Use Replace source to correct the PDF while the Agreement is still a draft.

Use a readable PDF up to 20 MiB and 100 pages. Password-protected or encrypted files, embedded file packages, and PDFs containing active content are rejected. Correct a rejected source in your document editor before uploading it again.

Send the Agreement

Choose Send, review the document, signer details, and Signing Statement in the confirmation, then confirm. The customer receives an email with a secure link to the Agreement. Check the card for its status and delivery information; do not assume that uploading alone has sent it.

What the customer does

The customer opens the link, reviews the Agreement and signing acknowledgement, and chooses Typed signature or Drawn signature. They enter or draw their signature and choose Sign Agreement. A successful signature changes the Agreement to Executed.

The card shows Draft before sending, Sent after sending, Viewed after customer access, and Executed after signing. The completed document and certificate may take a short time to become ready after execution.

Resend, withdraw, or correct a draft

  • Use Resend on an awaiting-signature Agreement when another delivery is needed. Signing links can expire; resend from the current Agreement rather than copying an old email link.
  • Use Withdraw to stop an unsigned Agreement. A withdrawn Agreement can no longer be sent or signed. An executed Agreement cannot be withdrawn.
  • The source PDF cannot be replaced after sending. Check the draft carefully; if an unsigned sent document needs correction, withdraw it and create a new Agreement.

Open the completed documents

Return to Agreements on the job or customer. Original Agreement opens the uploaded PDF. Once ready, Download Completed Agreement opens the completed signing document and Download certificate opens its signing record. Keep these together when you need to review the execution details.

If generation fails, the card offers Retry completed document or Retry certificate. Retrying document generation does not ask the customer to sign again or undo the recorded signature.

Customers, jobs, and office access

Customer Agreements stay with the customer; job Agreements also identify the related job. The same workflow supports company-added jobs and officially assigned Zwivio Dispatch Network jobs. Owners and dispatchers with manager access manage these records. Field team members use their assigned-work experience without receiving Agreement management automatically.

Where to find it: Open Customers and select a customer, or open a job from Jobs, then find Agreements.
