Deposit Requests and Payments

Request a deposit on a job, collect it online or record money received elsewhere, and carry the collected amount into the final Invoice.

  • A Deposit Request asks for money; it is not a payment until the money is collected.
  • Authorized office users manage the request and record offline payments. Customers can pay through the secure request page after online payment setup.
  • Collected deposits reduce the final Invoice balance. Applying a deposit does not collect the same money again.

Create and send a Deposit Request

  • Open the job from Jobs and find Deposit request. Check the customer before creating the request.
  • Enter Amount and choose Create deposit request. This saves the request without emailing it or changing the job schedule or completion.
  • Review Requested, Collected, and Remaining. Before any payment is recorded, use Requested amount and Save amount to correct the amount.
  • Choose Email deposit request to send the customer a secure link. Review the delivery message and request status on the job.

Collect online or record an offline payment

After your business completes online payment setup in Payment settings, the customer can open the emailed request and pay the outstanding deposit amount. A successful payment updates Collected and Remaining; the customer can receive a deposit payment receipt.

For cash, check, or another payment received outside Field Console Pro, first email the request so it is issued. In the payment area, enter Payment amount, select Method, add an Internal note if useful, then choose Record payment. This records money already received; it does not charge the customer. Record only what was actually collected, up to the amount remaining.

Track the collected amount

Return to the job to review the request status and Requested, Collected, and Remaining amounts. A partially collected request still has a balance. Once the requested amount is collected, no additional deposit payment is due. After any payment is recorded, the requested amount cannot be edited.

Apply the deposit to the final Invoice

Complete the job, then create its Invoice. Field Console Pro applies the collected, unapplied deposit payments for that job and shows Deposit applied separately from new invoice payments. A $1,000 Invoice with a $300 deposit has $700 left to collect.

If collected deposits cover the full Invoice, it is marked paid through the deposit application. You can still send it to show the customer that nothing further is due. Do not record a second payment for money already applied. If collected deposits exceed the proposed Invoice total, resolve that difference before creating the Invoice.

Cancel a request or finish collection

Use Cancel request to stop an unpaid open request. A request with a recorded payment cannot be cancelled. Cancelling a request is not a refund and does not return money to the customer.

Once a final Invoice exists, new deposit collection is closed. The request retains its historical requested and collected amounts. Use the Invoice for the remaining balance; do not send another deposit request to collect it. A previously opened payment page may need its payment result checked before you make another collection decision.

Where to find it: Open Jobs, select the job, and find Deposit request. Set up online payments in Payment settings.
