SERVICE DOCUMENTATION & HISTORY

Finish the job.
Keep the knowledge.

Write up the work and keep service details connected to the job, customer, service location and linked equipment. Give your team context for the next visit—while keeping internal documentation separate from the customer-facing summary.

THE WORK IS FINISHED. THE RECORD STAYS.

Capture what mattered.
Keep it with the visit.

A Service Record is written by your team, not automatically generated when a job is completed. Start it while work is underway and maintain it after completion when your permissions allow.

Read the Service Records guide

Document the work

Keep diagnosis, work performed, parts and materials, and private technician notes together.

Keep supporting context nearby

Job documents and service photos have their own attachment and visibility controls. They are not automatically included in the customer summary.

Link the equipment serviced

Link equipment from the job’s service location to its Service Record. A valid service-location relationship is required; equipment is not linked automatically.

YOUR TEAM’S NOTES. YOUR TEAM’S KNOWLEDGE.

Two kinds of information.
One clear boundary.

Write the operational detail your team needs, then choose the words intended for the customer. A Service Record is not a blanket permission to share internal information.

For the business

Diagnosis, work performed, parts/materials and technician notes remain internal. Assigned service professionals and office users have different field permissions.

For the customer

Authorized office users control the separate customer summary. Only that plain-text summary appears in completed-appointment detail for an authorized portal customer.

A valid branded portal session, approved customer access and the matching business/customer/job relationship are required. Internal notes, equipment, photos and attachments are not exposed through the summary.

EVERY VISIT ADDS CONTEXT

The next visit starts
with something to go on.

Return to a customer’s related jobs and saved Service Records. Review the previous visit, find the relevant location and equipment, and prepare with the history your team has recorded.

There’s no automatic diagnosis or generated advice—just useful information, kept with the work that produced it.

ONE CUSTOMER. THE HISTORY BEHIND THE WORK.

Connected records.
Deliberate sharing.

Service Records belong to managed jobs. Customer and service-location relationships keep the visit in context, while explicitly linked equipment identifies what was serviced.

For a completed appointment, a saved customer summary appears on the next authorized portal detail read. Later edits are reflected without another publication action. A completed appointment can still be visible without a Service Record or summary.

Save only keeps changes without a notification. Authorized office users can explicitly choose Save & notify customer when the completed job, nonempty summary and recipient access are eligible. Saving is not a promise of email delivery.
